Job requirements

We are seeking a motivated, detail-oriented, and enthusiastic individual to join our team as a Membership & Communications Assistant. This is an in-office part-time position with the potential to transition to full-time and/or a hybrid schedule based on experience, performance, and Club needs.

 In this role, you’ll work closely with the Membership & Communications Manager to enhance the member experience, manage both internal and external communications, and support key systems that keep the Club running seamlessly.

The ideal candidate is a quick learner with excellent written and verbal communication skills, strong organizational habits, and the ability to work independently while managing multiple priorities. This is a dynamic position with room for professional growth and development.

Communications – Internal & External

  • Draft Club correspondence, including weekly bulletins, monthly newsletters, committee updates, board letters, spotlight emails, and reminders via MailChimp

·        Awareness of local events both on and off property

  • Assist in drafting employee communications such as the monthly Victory Voice and internal reminders

  • Maintain and audit segmented email lists across MailChimp (members, employees, HOA, etc.)

 

Club App & Systems Oversight

  • Create and manage Club programming and announcements through the Club app (Newsfeed, Events, Closures)

  • Maintain and update local resource listings and featured events

  • Assist with member and employee app access and troubleshooting

  • Support key systems including:

    • Sevenrooms

    • Whoosh

    • Member Site

    • Mobile Key/Gate Access

 

Employee Appreciation Committee

  • Attend bi-monthly planning meetings

  • Assist in planning and executing staff appreciation events

  • Design flyers, order event swag, and manage related logistics

 

General Administrative Support

  • Perform monthly audits (extended family access, Facebook group members)

  • Ensure consistent and accurate member data across all platforms (Club Essential, Pacesetter, Sevenrooms, etc.)

  • Manage office supply orders

  • Maintain internal phone lists

  • Create and manage surveys (via SurveyMonkey) for events, member feedback, and other initiatives

  • Support committee document access and troubleshooting in Google Drive

 

Qualifications & Requirements

  • Strong written and verbal communication skills

·        Good interpersonal and communication skills

  • Highly organized, with excellent attention to detail

  • Tech-savvy; comfortable learning and navigating multiple systems

  • Experience with email marketing platforms (MailChimp preferred)

  • Able to work independently and manage multiple tasks efficiently

  • Positive, collaborative attitude and willingness to pitch in wherever needed

 

Preferred Experience

  • Prior experience in hospitality, membership services, or club/resort settings

  • Familiarity with Club Essential, Pacesetter and related platforms is a plus
